What is Email or Electronic Mail ?

Electronic mail, commonly known as email, is a digital message between two or more people. To compose an email, the sender uses a keyboard (or sometimes voice) to type a message on a smartphone, tablet, or computer. Email messages are digitally sent to the recipient using the program's Send button or icon.

What do I Need to Send an Email?

An email address is required to send or receive an email message. The address is unique for each user. To access and save emails, you need a web-based application or special program on your computer.

Note: The first email message was sent by Ray Tomlinson in late 1971. Although the exact wording has been lost, this email is said to have included instructions on how to use the @ sign in email addresses.

All emails contain the same core elements:

  • A To section to specify recipients.

  • A Send button.

  • A subject line.

  • Additional options typically include CC, BCC, and Send All.


What is an Email Address?

Emails are sent to one email address from another email address. Email addresses are written with a custom username at the beginning, followed by the email service provider's domain name, with an @ sign separating them. Here is an example: name@gmail.com.

What Does "Send an Email" Mean?

An email client is a computer program for reading and sending electronic messages. Typically, the client downloads messages from the server for local use (or for use in a browser) and uploads messages to the server for delivery to their recipients.

How Do I Open New Email?

Tap (on a phone) or click (on a computer) the new email to open and read the message. Each email program works a little differently. For example, Gmail allows you to open a new email in the same window as your inbox, or you can open the message in its own window.

Why is Email Popular?

Email provides a record of a conversation that you don't get with verbal communication. It's easy to print emails or store them in the cloud (storage space allocated by your service provider).

Unlike SMS, you can write as much as you want in the unlimited space of an email. Email services are also usually free.

Most email providers provide you with an email account for free. Choose your own email address, send and receive any email you want, and store it all online without paying a dime. Some email services are designed specifically for privacy and security, so you can be sure messages and files are hidden from everyone but your recipients.

Note: The most popular web-based email client is Gmail, followed by Microsoft Outlook and Yahoo Mail. Other popular email clients include Mozilla Thunderbird, macOS Mail, IncrediMail, Mailbox, and iOS Mail.

The Spam Problem

The biggest problem with email is unsolicited email, better known as spam. With hundreds of these spam emails in your inbox, the occasional good email can get lost. However, there are sophisticated filters to automatically remove ads and other unwanted material.

Tip: You can help reduce the junk mail problem by properly reporting spam. First identify the true source of the message, and then locate the ISP that was used to send the message. Identify the right person to contact and let them know about the spam.
